Frequently Asked Questions
Entering Events
To enter events for your group in the calendar, you and the group must be set up in the system. If your group is not listed among the calendar groups, submit a Calendar Group Request. If your group is already set up and you need to be set up as a new calendar administrator, contact calendaring@duke.edu.
If you want to submit an event for a group and are not a calendar administrator, visit Events@Duke and select Submit an Event. You will need your Duke NetID and password.

How do events get entered in Events@Duke?
Most departments and Duke organizations have designated calendar administrators who are authorized to enter events. If your organization doesn't have a calendar administrator, submit a Calendar Group Request. Alternatively, you can use the Submit an Event link on Events@Duke to submit an event for consideration.Return to Top
Can I enter events in a variety of text styles and font sizes?
No. The new calendar applies a standard format to event entries, so entries will have a consistent look. A designated calendar administrator will review the calendar entries regularly and look for any irregularities (for example, using all caps or all lower case in event names and descriptions is discouraged).Return to Top
My event takes place in a different time zone. How should I enter it in the calendar ?
When selecting the time for the event, use the event location's local time. If the desired location does not exist in the list of available locations, contact calendaring@duke.edu.Return to Top
Are there categories that are specific to a particular group?
Not currently. All of the categories in the calendar are available to all groups.Return to Top
The category I want to assign to my event doesn’t exist. Can I submit a suggestion for a new category?
The current categories were considered carefully, so that they would meet most users’ needs. However, we realize some units may have a need for additional categories. To suggest a category, contact calendaring@duke.edu.Return to Top
If I mark an event with both the “Ongoing” and “Dance Performance” categories, will it appear under the calendar’s “Ongoing” heading, as well as under the main event listing for dance performances?
No. Any event with the category Ongoing will appear only under the Ongoing heading on the calendar.Return to Top
Can I include an image with my event entry?
Yes. When entering your event, use the Image URL field to link to your image. The image must reside on a public server (you cannot upload or attach the image to your event in the calendar). Images should be no larger than 400 pixels wide by 370 pixels high. The file size should be less than 800 KB.Return to Top
I want to include a map to my event’s location in my event entry. How can I do that?
Most locations that have been set up in the calendar have been associated with the building information on maps.duke.edu. When you select a location and submit the event, the event details in Events@Duke will display the location with a live link to building information, including a map. If the location you need is not in the list of locations, you can use either "none", "see description" or "unknown" as appropriate or contact the calendar administrator, calendaring@duke.edu.Return to Top
I entered an event and searched for it, but it's not showing up in the search results. What could be wrong?
After you enter an event, the system's search feature takes some time to register the event. Wait about 30 minutes and try your search again. If you selected the category Local, the event will not display on Events@Duke. Events tagged as Local are only available in XML feeds for the event's group.Return to Top
